Job Description

Clinic CoordinatorContract(37.5 hours/week)File #22-025EveryMind Mental Health Services is recruiting for the contract position of Clinic Coordinator. This position requires a dynamic and positive personality with strong organizational skills and a client centred focus. The incumbent must thrive in a fast-paced environment and enjoy supporting multiple schedules of a team of clinicians as well as providing coordination services and waitlist updates to clients and their families.Reporting to the Manager, Clinical Services, the Clinic Coordinator will collaborate with various clinical programs to optimize clinician schedules. Acting as the point of first contact for scheduling clients from designated program waitlists, the Clinic Coordinator role will enable an overall easier experience for clients and their families whereby they can more easily schedule, reschedule and cancel their first appointments by getting in touch with a single individual. The clinic coordinator will prepare clients and their caregivers with relevant information and resources to help orient them to the agency and first clinical meeting, ensuring a person-centred approach to set up for success in treatment. The clinic coordinator will be accountable for the optimization of standard schedules for designated clinicians, while overseeing the waitlist and identifying trends for children and youth who have an intake through WhereToStart.caThis position is responsible for coordinating clinicians’ schedules in collaboration with program clinical supervisors to ensure clinical time optimization, the booking of client appointments and flexibility when requested by the client, along with oversight to various program waitlists. The position will also address changes in client’s mental health status and provide clients/caregivers with information about approximate wait times, relevant resources and how to access them all in effort to support clients and caregivers to have clarity on what to expect while waiting and how to find relevant resources as needed.Position InformationThis is a temporary contract position of 37.5 hours per week, until March 31, 2023Annual Salary Range - $49,578 - $58,010Please note that hiring salaries are commensurate with experience and generally start at the beginning of the range.Why EveryMind

Knowledge, Skills & Experience
  • Bachelor’s degree in Health Information Technology, Business Administration or other Health related field.
  • Minimum of 3 years of experience in client/patient scheduling or equivalent experience working in an environment that required standardized scheduling.
  • Demonstrated knowledge of community resources available to children, youth and families within the region of Peel.
  • Previous experience in the children/youth sector with the ability to identify and address immediate risk factors a definite asset
  • Exceptional people skills with an ability to demonstrate empathy
  • Demonstrated experience with scheduling software, scheduling apps, client information databases and booking systems
  • Specific administrative skill set, and exceptional customer service skills that is culturally attuned to clients and their family’s needs as required.
  • Demonstrated ability to remain professional and unbiased to ensure effective and efficient operations of the clinic are sustained at all times.
  • Ability to communicate with internal and external stakeholders with diplomacy and tact
  • A Satisfactory Vulnerable Sector Police Check and Pre-Employment Medical screening (including TB test, MMR, TD, Polio Vaccination), is required;
