Job Description

A Complex Group & Business Travel Sales Coordinator will fully support, from administrative, reporting, and customer service, the Sales team to assist in developing future and repeat business.What will I be doingYou will be responsible for performing the following tasks to the highest standards:

  • Speak directly with customers to conduct needs assessments for inquiries and leads, as part of one team approach; to answer all incoming leads within Hilton standard timelines, especially when managers are out of office. Assist Sales Managers to maintain strong relationships through the following activities: being the telephone point of contact when Sales Managers are out of office, respond immediately to customer needs and resolve issues with assistance of Director of Sales & Marketing or Sales Managers. Generate proposals and contracts with the objective to be the first hotel to respond to all leads.
  • Prepare reports in Delphi FDC, Excel, correspondence in Word and conduct analysis relative to group activity for Director of Sales & Marketing. Document all client conversations when representing Sales Managers who are out of office. Run reports, merge documents, and enter data upon request.
  • Filing, scanning, emailing and maintaining an updated file of clients, prospects and mailing lists. Ensures continuous inventory of collateral of brochures and other materials for distribution and mailings to guests, tradeshow, etc and kits set up on ongoing basis for sales department and front desk.
  • Prepare and process purchase orders and check requests. Order supplies, organize and maintain administrative files. Type welcome cards for VIP guests and complimentary hotel certificates. Prepare all outgoing mail, couriers and information packages for sales.
  • Insert new booking auto traces in Delphi FDC, run Daily Transaction Reports for sales managers to follow up on all leads received
  • Perform other duties and responsibilities as requested.

It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:
  • Previous experience in a sales role
  • Relevant degree, in a sales or business discipline, from an academic institution
