Job Description

Gift Entry CoordinatorThe Mississauga Food Bank’s (TMFB) vision is a* Mississauga where no one goes hungry.* We work towards this vision through relieving hunger by providing and promoting access to healthy and appropriate food.You Bring:

  • Excellent customer service skills, an incredible attention to detail, and hands-on experience with a customer relationship management (CRM) database, Blackbaud Raiser’s Edge 7/NXT preferred
  • 2+ years of professional experience in a customer service or administration environment, preferably within a charity or non-profit organization
  • A college diploma or university degree in a relevant field
Job Purpose
  • Play a key role in providing exceptional service to donors and supporters on the phone, via email, and by using our CRM database, Raiser’s Edge, to ensure donor satisfaction and retention. This important work supports achieving revenue goals!
  • Work closely with the Donor Care & Database Supervisor and as a part of the Development team, focusing on donation data entry, donor requests, and donor communications
Key Performance AreasGift Processing and Acknowledgement (50%)
  • Alongside a team of volunteers, process financial and in-kind donations (mail, cash, cheque, credit card, online, phone-in, food) and create donor, gift, pledge, and payment records.
  • Support producing receipts and acknowledgment letters and ensure timely mailing to donors; respond in a timely and professional manner to donors’ inquiries regarding receipts.
  • Proactively assist with other types of data entry, mailings, or communications such as pledge reminders and requests to update credit card information.
  • Support process to reconcile gifts, provide transaction information and reports, and prepare bank deposits
Donor Services and Stewardship (20%)
  • Respond to calls/emails from donors who want to make donations, make changes to their information on file, or ask questions about a previous gift. Enter these changes or transactions into Raiser’s Edge
  • Provide support to users of the peer-to-peer online giving platform, ensuring donor satisfaction. Liaise with the Corporate Partnerships Officer and Community Partnerships Coordinator to support donors who want to use the system.
  • Support implementing the donor stewardship plan according to assigned timelines and recognition levels. Liaise with other staff/departments to perform tasks as necessary
Database Administration (15%)
  • Support the maintenance of electronic and physical donor files
  • Perform database administration tasks such as duplicate record merging, clean-up, and quality control
  • Support implementation of optimized database structures, codes, new software releases, reports, and procedures for Raiser’s Edge
Other (10%)
  • Participate and provide assistance in activities, initiatives, and special projects as requested.
Desired Skills, Competencies, and Qualities
  • Passion. A passion for mission-driven work and personal values aligned with those of TMFB. Concern for and interest in issues of poverty, food security, and/or social justice
  • Technical. Skills in MS Office and/or Google Apps for business (specifically Excel/Sheets); experience with CRM software solutions (Raiser’s Edge 7/NXT preferred). Prefer a digital solution to an analogue one. Ability to learn new systems quickly. TMFB is a cloud-based, paperless environment
  • Communication. Speak, listen, and write English in a clear, confident, respectful, thorough, and timely manner using appropriate and effective communication tools and techniques. Superb phone manner
  • Detail-Oriented. Strong numeracy/mathematical skills. Committed to continuous improvement and optimization - incredible attention to detail and accuracy

Relationships: This position reports to the Donor Care & Database Supervisor and is a member of the Development Team. Outside the organization, the position liaises with donors.Position Type: Full-time, permanentHours: Monday, Tuesday, and Thursday 9am-5pm, Wednesday 9am-8pm, Friday 9am-1pm. Minimal additional evening and weekend work will be required.Compensation: Starting salary of $46,000 - $51,000Environment: TMFB offices at 3121 Universal Drive, Mississauga.
