Job Description for AdminMikhail PsychologyWe are seeking an outgoing, detail-oriented, efficient person to join our amazing Admin Team in providing front desk support to our growing Psychotherapy & Assessment practice. The ideal candidate will be adept at prioritizing and multitasking, as well as have a positive attitude. This Candidate will also be willing to learn and grow with us!Pay: $20/hourShifts will be Tuesdays 4-9pm, Thursdays 9-2pm, and Fridays 9-2pm, with some flexibility.This role will report to Dr. Anne Marie Mikhail, C. Psych., Owner and Director of Mikhail Psychology.About UsWe are a growing practice that provides culturally-competent psychotherapy and psychoeducational assessments to children, adolescents, and adults. You have a passion for helping others, as you will be communicating with our clients.Qualifications

  • 2-3 years of experience in Client Care and Customer Service (preferably in a medical office at the front desk)
  • Psychology undergraduate students and graduates are welcome!
Responsibilities
  • Supporting Psychologists and Psychotherapists with client bookings, payments, administrating intake & consent forms, etc.
  • Client support: welcoming clients to the office, answering client calls and emails, processing payments at the end of sessions.
  • Maintaining Quality Assurance (follow up to payments, securing payment information, uploading secure documents, managing the booking software including schedules and treatments offered)
  • Maintenance of office area, office supplies, and clinical files
  • Updating operations manual with new or changed processes
  • Screening therapist candidates
  • Tracking clinic metrics

  • Tech savvy (we are mostly paper-less and everything is online)
  • An appetite for innovation and simplicity who is highly process oriented
  • Working autonomously comes easy to you but you also love collaborating with a talented team
  • Considerable experience using the Microsoft Office Suite, Google Drive Suite, Gmail, Dropbox, Windows in a work environment
  • Knowledge of the Jane App scheduling software is an asset
