There are many opportunities for advancement while building your career at PSF.Summary of Position: This position’s primary focus is to provide Administrative support to the Office Administrator with Pre-Qualifications, contract related documents and other Administrative duties that will be assigned as needed. In addition, assist the Executive team with Administrative duties as needed. We are seeking a highly organized individual with researching capabilities and strong oral and written English with the ability to obtain data surrounding the construction scopes of work.Responsibilities: Preconstruction Coordinator/Administrative Assistant
  • Assist the Office Administrator with insurance, licensing, plate and sticker renewals, and maintenance of leased and purchased company car fleet
  • Assist in all corporate travel arrangements
  • Liaise with Office Administrator to handle requests and queries from the Senior Management and Executive team
  • Assist the Office Administrator with prequalification completion while adhering to strick deadlines.
  • Assist the Office Administrator with completing and obtaining contract documentation while liaising with the Project Management team, Installers and insurance provider to ensure all project related information is completed and accurate within deadlines
  • Assist the Office Administrator with any impromptu and ad hoc assignments
  • Write and distribute email, correspondence memos, letters, faxes and reports
  • Develop and maintain a filing system and contact lists
Reception back-up:
  • Back-up in reception duties where the need arises (this includes the full day back up while the absences occur or unavailability). These duties will consist of answering and directing phone calls, relay messages to appropriate parties, receive visitors and direct them to appropriate parties, organize and schedule meetings and appointments, arrange and set-up catering for meetings with clients, order and maintain office supplies and research and negotiate pricing with suppliers, daily processing of invoices, matching with packing slips, retrieving signatures, and submitting to the Purchasing and Accounting departments
  • Follow-up on outstanding invoices, send direct deposit forms and fill out credit applications
  • Any impromptu and ad hoc requests

Requirements
  • Construction or Manufacturing Industry experience is ideal
  • At least 5 years Administrative experience
  • Proficiency in MS Office applications (Excel, Word and Outlook in particular)
  • Strong organizational and time management skills with the ability to prioritize work, multi-task and meet deadlines
  • Able to multi-task while juggling a very busy workload with several interruptions
  • Able to work independently and in a team environment
  • Strong attention to detail and problem-solving skills
  • Excellent written and verbal communication skills.
