In this role you will provide effective administrative support to ensure the smooth operation of the Security Department. You will also have the opportunity to coordinate various programs within the department as directed by the Security Manager.   • Providing effective administrative support to ensure the smooth operation of the Security Department.
  • Coordinating various programs within the department as directed by the Security Manager. From time-to-time provide a supervisory function within the department when a Manager or Supervisor is not available.
  • Working closely with Security Contract Provider for schedule and invoice reconciliation; e nsure that the Square One and Oxford customer service philosophies are met and are an important part of the everyday operation of the Security Department.
  • Performing certain mid-level supervisory duties including ensuring guards are responding to calls, are arriving on time for shift, etc.
  • Preparing, tracking and maintaining the purchase orders, invoices and all accounting to maintain good budget governance for the department. Internal communications, file management and organization.
  • Performing duties and tasks as assigned by the Security Manager, Assistant Security Managers and respond to directions from all shopping centre management.
  • Operational and administrative responsibilities pertaining to the mall security functions – parking control program, access card program, organization of fire safety drills.
  • Acting as the departments tenant relations liaison – memos, oversee tenant communication systems (OXCOMM), tenant and inter-department project coordination.
  • Maintaining all departmental filing, ordering of supplies; organization of personnel training as necessary.
  • Maintaining all incident reports prepared by the department, reading each report and following up on any required course of action, comment or direction. Work on liability insurance incidents and coordinate further communication with the adjuster.
  • Assisting Supervisors and Coaching Officer with administrative needs
  • Awareness of and complying with, where applicable, all employer responsibilities prescribed under the applicable provincial Health and Safety Act.
  • Providing assistance in maintaining organization of offices, guard work areas, etc.
Health and Safety Responsibilities and Accountabilities:Be aware of and comply with where applicable, all employer responsibilities prescribed under the applicable provincial Health and Safety Act.Identify and correct hazards noted and brought to his/her attention.Notify, as appropriate, all occupants, employees, customers, suppliers, contractors, etc regarding any potential hazards.Provide instruction, information and supervision to all workers regarding potential hazards and unsafe work procedures.Provide supervision for workers to ensure workplace safety, and proper use of personal protective equipment.Conduct and record regular safety inspections of the workplace and correct or adequately address noted hazards.Assist in the administration of Emergency Evacuations and Crisis Response.Accommodate and assist the Joint H&S Committee in the performance of their duties.Respond to inspection items noted by the joint H&S Committee workplace inspections.Know and apply legislative roles and responsibilities pursuant to the Occupational H&S Act. Comply with and enforce provisions of this Act and Corporate H&S procedures.Conduct accident, illness, injury and near-miss investigations as required by the Corporate H&S Manual. Provide prescribed notification to the Ministry of Labour in case of accidents or injury pursuant to legislative requirements.Administer the H&S program administration and WSIB, modified work and claims management assistance, as required.Ensure provision of appropriate first aid and transportation if necessary in the case of accident or injury.Ensure that all workplace injuries are promptly treated, dealt with and reported as per requirements of the H&S Manual.To succeed in this role, you have:
  • A minimum of 2 years experience of Supervisory duties and responsibilities
  • Proficiency in Excel and PowerPoint is required
  • Education: OSSD, Highschool; Post secondary education in the field of Law, Justice, Security or Policing is preferred
  • Security experience is preferred
  • Technological experience with CCVS and Access Control is a bonus
