Job Description

This role is accountable for providing comprehensive support to the Global Talent Acquisition team throughout the entire recruitment lifecycle and the broader HR Team, from administration, recruitment, onboarding, project assistance, ad-hoc tasks, and coordination. In addition, the Talent Coordinator will ensure a smooth and efficient internal recruitment processes through strategic business partnership, delivering a positive candidate experience, and overall providing best-in-class support to the Talent Acquisition team. The Talent Coordinator is a key partner to the IMAX team, they are the first point of contact both externally with candidates and internally with stakeholders.RESPONSIBILITIES:

  • Recruitment administration: managing the TA inbox, placing job postings, coordinating interviews, kicking off new roles, tracking recruitment and candidate data, preparing offer letters
  • Supporting Talent Acquisition through various recruitment workflows and to ensure smooth execution of interviewing and the hiring processes
  • New Hire Pre-Onboarding: such as global background checks, references checks, and vaccination verifications
  • Own the New Hire Orientation process in Canada and the administration of U.S. orientation
  • Recruitment for entry level positions: review candidate profiles, schedule interviews and support candidates through the process
  • Act as an Agency partner and intermediary between hiring managers and agency contacts on behalf of the Talent Acquisition team
  • Manage confidential files and other privileged information in a professional manner
  • Coordinate with existing vendors for TA department needs (supplies, events, catering, etc.)
  • Prospect new vendors for future partnership needs
  • Prepare various materials and reports for project research
  • Supporting analytics; including candidate tracking ad-hoc reporting requests related to Talent Acquisition
  • Deliver all aspects of the sourcing process; understand business requirements, liaise with hiring managers and supporting departments
  • Ensure all tasks are completed daily in a timely manner with consistency in communicating updates to the team and business
REQUIREMENTS/QUALIFICATIONS:
  • Bachelor’s or Associate’s degree in HR or related discipline
  • Minimum of 2 years’ administrative experience (HR/Talent specific is an asset)
  • Recruitment or Talent Acquisition experience is an asset
  • Proficiency using Microsoft Office, with demonstrated expertise in Word, Excel, and PowerPoint
  • Experience using an ATS is required
  • Experience with web-based applications, e.g., LinkedIn, Indeed
  • Detail oriented, checking accuracy of work and providing consistent follow-up
  • Exceptional interpersonal, organizational, business communication, and time management skills
  • Ability to effectively learn and acquire new knowledge and skills
  • A passion for recruiting and human resources
  • Project management skills and multi-tasking: ability to prioritize multiple projects and adjust workload accordingly
  • Excellent oral and written communication skills
  • Effective problem solving/trouble-shooting skills
  • A positive and optimistic attitude
  • Experience working directly with senior leadership and above is an asset
