Job Description

OverviewThe Toronto Administrative Assistant greets people arriving at the office, directs visitors to the appropriate person, answers and forwards telephone calls, takes messages, books meeting rooms and performs other clerical duties.*Snapshot of Responsibilities: *

  • Greet people coming into the office and direct them to the appropriate contacts.
  • Provide information in person and by phone, and maintain front desk security and security access lists.
  • Coordinate and set up of the meeting room’s schedule.
  • Operate telephone system to answer, screen and forward telephone calls, take messages and provide information as required.
  • Order office supplies and arrange for servicing for the photocopies and other office equipment when necessary.
  • Petty cash reimbursement and reconciliation.
  • General administration which may include: processing incoming and outgoing mail and transferring internal mail between buildings.
  • Oversee building security by updating and distributing alarm codes to employees when needed.
  • Manage Avigilon System which includes creating/deleting access cards and monitoring guests passes.
  • Undertake other administrative duties as required.
What you bring to the team*Completion of Secondary School
  • 3-5+ years of experience in an Administrative Assistant role
  • Excellent analytical and communication skills (both written and oral)
  • Organization and time management skills
  • Proficient in MS Office, especially Outlook, Excel and PowerPoint
  • Previous experience managing a building alarm system, including management of key card access for employees
