Job Description

Victor Energy is seeking a Project Document Controller to support Transmission Line and Substation EPC projects in Canada. The job is primarily administrative but will also involve providing document control leadership and expertise to our corporate stakeholders, project teams and clients. The ideal candidate must be a self-starter, capable of working well both independently and in teams, should be detail-oriented and comfortable communicating all issues clearly to various members of the project team, and have a high level of technical proficiency with Document Control Processes and Systems.This is an office-based position located in Nisku, AB.RequirementsKEY (CORE) DUTIES AND RESPONSIBILITIESMaintaining Digital Document Management System

  • Ensuring that all project documentation submitted to the company document control system by project team members is correctly coded and filed in a timely manner
  • Ensuring quality of information contained in the company document control system
    1. Documents are correctly and completed coded with the appropriate meta data,
    2. Documents presented in M-Files are the most current version
    3. Prevention of document duplication
    • Identify and report deficiencies and/or problems with the company document management system
    Document Controls Operations
    • Assisting team members with locating documents, answering document control related questions, and resolving service issues in a timely and professional manner
    • Manage formal communications transmittals with external stakeholders
    • Provide front-line system user support and training
    • Identifying and communicating to the Java Holdings Ltd. Director, Systems issues that impact the delivery of successful Document Controls program
    Document Control Processes and Procedures
    • Support the development, standardization, and operational execution of document control processes and procedures
    • Provide training and support to stakeholders on document control processes and procedures
    KSA’S (KNOWLEDGE, SKILLS, AND ABILITIES, and PERSONAL ATTRIBUTES):
    • Attention to detail, ability to focus and concentrate for long durations is critical
    • Excellent communication skills; written and spoken English

    • Possess a high level of technical proficiency with Document Control Processes and Systems
    • Maintain professional, industry, and organizational knowledge to serve as subject matter expert and act as point of contact for all RIM services by staying current with changing technologies and external business practices and consider their possible use at Victor Energy.
    EDUCATION AND EXPERIENCE:
    • Minimum 5 years document control supporting construction projects
    • Experience with maintaining a digital document management system
    • College or University Diploma /Degree preferably in Administration, Information Management, or Records Management is preferred
    • Specific experience with Engineering and Construction document management is an asset
    • Highly proficient with the Microsoft suite of Office applications, and Adobe PDF.
