Job Description

We are presently looking for a key person to organize, grow and expand our connection within the community and our congregation. With that in mind, we are looking for the following position to be filled.For more information about the church and our mission see sharonhopeunitedchurch.ca (and while you’re at it, help us reimagine our website & socials, this is why we need someone like you).Come join our team and help us grow!The Communications & Administrative Coordinator (CAC) will be directly involved in 1) Communications, 2) Facility management, and 3) Office administration from our facility and, on a limited basis, remotely.Reporting to our Ministry & Personnel (M&P) team, the CAC manages all internal and external communications and interactions including social media platforms, website, weekly church emails, newsletters, YouTube.The CAC helps to ensure the everyday work of the church office runs smoothly, through teamwork, initiative, & confidentiality.The CAC organizes the church calendar, looks after church office administration, helps administer property services, including liasing with facility contractors and volunteers.Duties & Responsibilities: 1. Communications:

  • Create and produce all technical elements of worship communications with support from the Minister, Music Director and Worship team: Worship slides, media & technology; camera recording and video / music editor
  • Help coordinate and train volunteers to assist in Sunday worship service operation of camera & computer
  • Design, write, and publish the weekly announcements and celebrations to be included in eBlast (eNewsletter/email) and Sunday announcement slides
  • Create, design, & manage church social media content that drives engagement (eg Facebook)
  • Creation of new content for the church website and external electronic sign
  • Manage the concept, development, production, and distribution of print and digital material related to program and ministry initiatives including the Annual Report
2. Facilities:
  • Organize church calendar and all scheduling of the facility
  • Guide potential new renters and through the Sharon-Hope Rental process, propose changes to it as required, and working closely with the Rental team and Bookkeeper on all rental inquiries, contracts, etc.
  • Key Card management: Assigning and tracking key holders for the building.
  • Liaise with the Property team to ensure a consistent and high standard is maintained for a publicly used building.
3. Administration:
  • Ensure all aspects of the everyday work of the church runs smoothly.
  • Maintain and update all church administrative files, church records, databases, and church correspondence.
  • Communicate closely with Minister, Council Chair and other team chairs on Church activities.
  • Maintenance and organization of office and reception area.
  • Guide office work for any church volunteers.
  • Coordinate elements of worship services: assist the Worship team, schedule volunteer readers and offering collectors, etc.
  • Provide administrative support to the minister.
Core Competencies for Performance:
  • Seeking a very organized person who works easily in various media platforms. Your ability to communicate clearly and professionally is critical. A love of learning and empowering others to do more will serve you well in this position. The church has much to do making the ability to work well with others essential.
Knowledge & experience:
  • A minimum of 3-5 years experience in communications, social media and web design, administration, operations, office management, or a combination of experience and equivalent education.
  • Strong experience in strategic communications and digital marketing.
  • Experience in effecting organizational improvement, including implementing new processes.
  • Education: Undergraduate Degree in Communications, Technology, Certificate or equivalent
  • Strong computing skills especially using (either/or) Microsoft applications, Wordpress, Resolve, G-Suite applications, Twilio, ZOOM; comfortable learning new church-specific software
  • Strong social media management experience and competencies including but not limited to: YouTube, Facebook
  • Experience in website design and upkeep, public relations, and marketing
  • Experience in the non-profit sector an asset
  • Require excellent knowledge of both written and spoken English

  • AEC / DEP or Skilled Trade Certificate (preferred)
Experience:
  • Social media management: 3 years (preferred)
  • Administrative experience: 3 years (preferred)
