Job Description

Job SummaryThe Health Station Coordinator plays a pivotal role in representing the WLFN Health Station through reception services and ensures smooth daily office administrative operations of the Health Station. The Coordinator will be responsible for taking care of the Health Station facility in terms of services and performance. We continually want our clients & members to know that they are entering a positive, and comfortable environment. Core functions of this dynamic role include reception services, general office administration, and facilities management. It is essential that the Health Station Coordinator be highly organized, professional, friendly in all forms of communication, and able to handle the multiple demands with an attitude for problem-solving and positivity that ensures the Health Station runs harmoniously.Duties & Responsibilities

  • Be the front-line face of the Health Station in greeting people in person, by phone, or by email with the goal of providing a first-rate customer experience.
  • To ensure delivery of an excellent service that is member-focused, fair, and accessible to all life stages.
  • Performs day-to-day administrative/clerical duties, including photocopying, processing correspondence, emails, and other documentation.
  • Attending to any correspondence and emails by customers, clients, and contractors.
  • Maintaining incoming service requests.
  • Maintain a digital filing system.
  • Maintains general office supply inventory, including ordering and organization.
  • Prepares purchase orders, credit card reconciliations, and invoices for approval.
  • Ongoing monitoring and maintenance of program statistics, reporting requirements, records retention, board reports, budget tracking, and finance requests (payables and receivables).
  • Liaise with different departments to improve performance and work efficiency.
  • Analyzing all operations and forwarding suggestions for improvement to the Manager.
  • Collaborates with the Marketing & Communications Coordinator to create newsletters, posters, and brochures, and utilizes a variety of other methods as a way of sharing any related information with targeted populations.
  • Keeps the Director of Health & Wellness informed of sensitive and important issues and events.
  • Exercises sound judgment and discretion with regard to the confidentiality of client information.
  • Creates a safe and healthy environment where facilities are well maintained.
  • Supports the mission, vision, and values of Williams Lake First Nation.
  • Contributes to the WLFN’s ongoing success by accomplishing other duties as required or assigned.

  • Preferably with a Diploma in Office Administration or Business.
Experience:
  • Minimum 2 years of experience working in an office setting, providing administrative support.
Knowledge:
  • Knowledge of the Williams Lake First Nation community, traditions, teachings, culture, protocols, and practices.
  • Knowledge of Microsoft Office software at an intermediate/advanced level
Skills & Abilities:
  • A team player with the ability to develop effective and supportive relationships with all colleagues and promote/maintain collaborative approaches.
  • Excellent organizational skills, ability to work well under pressure, and prioritize workload to meet tight deadlines.
  • Extensive communication skills (verbal & written).
  • Excellent interpersonal and time management skills in dealing with a wide range of senior management, various consultants, and external stakeholders.
  • Operates as part of a team and is flexible about the boundaries and functions of the job.
  • Maintains professionalism in all circumstances.
  • Recognizes and respects all cultural diversity and understands the Indigenous culture.
Working Conditions
  • Office environment.
  • Most services are provided immediately.
  • To be aware of the sensitivity, confidentiality, and urgency of requests while balancing other work commitments.
  • Non-standard hours of work – May be required to accommodate the community needs and that may consist of evenings and weekends.
Conditions of Employment
  • Must be able to obtain and maintain a Criminal Records Check
  • Must be able to obtain and maintain a valid BC Driver’s License and Driver’s Abstract
  • Must provide a vehicle in good operating condition and appropriate vehicle insurance to meet program requirements OR access to company vehicle is provided and requires a valid Driver’s License
