Job descriptionJOB TITLE: Executive AssistantLOCATION: Wahnapitae First NationTERM: Full-time, PermanentREPORTS TO: Executive DirectorPOSTING DATE: August 29, 2021NATURE AND SCOPE OF POSITIONReporting to the Executive Director, the Executive Assistant will liaise with internal and external contacts as directed by the Executive Director. Working alongside of the Executive Director, the incumbent will ensure efficient and effective operations implementing and monitoring operational procedures of the First Nation.SPECIFIC RESPONSIBILITIESo Liaise with internal and external contacts as directed by the Executive Director.o Prepare agendas, organize, record, and transcribe meeting minutes and task lists promptly and accurately for Chief and Council and the Executive Directoro Respond to correspondence based on direction from the Executive Director.o Maintain electronic and hardcopy filing system.o Assist in the preparation and facilitation of meetings.o Demonstrate a consistent ability to maintain positive working relationships.o Refer to relevant manuals periodically to ensure policies and procedures are being met.o Transcribe correspondence, reports and other documents as directed.o Record and transcribe minutes of Distribute minutes of meetings and task lists as directed.o Assist in monitoring inventory of filing and office supplies and re-order as necessary to ensure adequate supply for Executive Director.o Coordinate arrangements for meetings including meeting space, equipment, and supplies.o Assist with annual planning cycle, prepare quarterly and annual reports.o Participate with the annual review of policies and provide research information with the development of new policies.o Assist in the development of a multi-year Plan and other corporate planning documents and processes.o Participate in regular supervision, staff and organizational meetings as directed.o Collaborate with leadership, staff, community, and partners in achieving the goals and objectives identified in the community development plan and other development strategies and initiatives.o Use academic study, self-directed learning, and other training opportunities to continually develop professional knowledge and skills.o Incumbent may be asked to perform other duties as required.QUALIFICATIONSo Certificate in Business Administration or equivalent education and work combination as deemed appropriate by the Executive Director.o Minimum two (2) year experience in administrative support.o Experience in document management (electronic and hardcopy).o Knowledge of First Nation concepts and procedures.o Experience in Minute taking.o Strong interpersonal skills.o Strong computer skills with experience in using Microsoft Office Suite.o Function effectively as a team member.o Advanced time management skills and the ability to accomplish tasks with a sense of urgency.o A valid Ontario driver’s licence.STARTING SALARY: Salary Grid X: $24.92Please forward your cover letter, resume and three (3) work references by email to:Meghan DonivanHuman Resources DirectorWahnapitae First NationAnishinabek and First Nation members are encouraged to apply.
