Job Description

Support Staff Temporary Full-time Appendix D Replacement Contract Position(January 31, 2022 to July 29, 2022)(Full-time support staff will be given first consideration)As the COVID-19 pandemic evolves around the world and in our local community, Conestoga College continues to adjust plans based on the guidance provided by our local Public Health authority. Considering these unprecedented circumstances, final hiring decisions remain contingent upon confirmed enrolment numbers and the evolving work environment. Conestoga College will take appropriate measures to protect the safety and well-being of our College community and prospective candidates throughout the recruitment and selection process, including the scheduling of remote interviews.The incumbent is responsible for all aspects of fees for full-time and part-time students including fees entry and payment schedules for Second Career and International students. The Client Services Clerk works closely with the Admissions, Records, and Financial Aid units and is the contact for students/prospective students regarding fees inquiries, payment arrangement information, and outstanding fees.Although many of our employees are currently working remotely, this position is governed by the applicable legislation of the Province of Ontario. Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required.Responsibilities:Communicates with applicants, students, sponsoring agencies, community agency counsellors regarding the following:

  • Processes tuition payment schedules for International and domestic students in full-time programs
  • Processes Continuing Education registrations
  • Processes fees for transcripts, duplicate documents, supplementals, Special Studies, Certificates and Affirmations, duplicate student ID cards, duplicate T2202As
  • Upon request, produces letters and authorizes documents to verify the status of students and graduates by checking the system for relevant information
  • Issues confirmation of tuition letters to students and agents, ensuring letters are uploaded to the student’s portal throughout the semester in conjunction with the Fees and Finance department
  • Receives and validates international study permits for student enrolment
  • Receives and validates documents for international student status change and submits to the Coordinator, Client Services, and Student Fees
  • Responds and reviews refunds issued by the Finance department not yet received by the international student
  • Assesses late fees as required
  • Processes fees of domestic and international students
  • Assigns the “Pre-registered” students to “Ready for Registration” as required ensuring that course enrolment occurs for students
Qualifications:
  • Two-year Diploma Office Administration, Business, or Sales
  • Two years of experience working in an office setting
  • Experience handling financial information and working accurately with detail
  • Ability to work well in a team environment, as well as independently
  • Superior verbal communication and interpersonal skills required to assist a diverse student population (including International students)
  • Excellent interpersonal, public relations, and communication (written, verbal and listening) skills, with demonstrated use of diplomacy, tact, and conflict resolution skills
  • Ability to communicate and explain information to students whose first language is not English in a concise and understandable manner
  • Demonstrated ability in handling sensitive and confidential information
  • Ability to organize workload and multitask
  • Must be able to work in a team environment as well as independently
  • Must be comfortable in a computerized environment
  • Ability to demonstrate patience, cultural sensitivity, and understanding when dealing with international students
  • Proficiency in a second language would be considered an asset
