Job Description

Support Staff New Initiative and Opportunities Contract Position (One-year Contract) (Full-time Support Staff will be given first consideration)As the COVID-19 pandemic evolves around the world and in our local community, Conestoga College continues to adjust plans based on the guidance provided by our local Public Health authority. Considering these unprecedented circumstances, final hiring decisions remain contingent upon confirmed enrolment numbers and the evolving work environment. Conestoga College will take appropriate measures to protect the safety and well-being of our College community and prospective candidates throughout the recruitment and selection process, including the scheduling of remote interviews.The VMock Project Coordinator oversees the VMock project lifecycle from initiation to closeout and ongoing administration, resulting in the successful usage of the platform by all Conestoga stakeholders. In this capacity the Coordinator gathers user requirements and institutional data for system configuration per established timelines. As project lead, the incumbent gathers historical student resumes to inform system benchmarking, oversees resume formatting standards, and develops student/client feedback for established benchmarks. The Coordinator assesses the VMock interview question library to determine alignment with established benchmarks, developing customized questions/interviews as appropriate. The Incumbent supports the launch of the VMock system, creating all technical documentation and training materials, and onboarding CCWIL staff, faculty and students to the platform. The Coordinator provides ongoing system administration, training and reporting support.Although many of our employees are currently working remotely, this position is governed by the applicable legislation of the Province of Ontario. Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required.Responsibilities:System Implementation and Administration

  • Establishes the critical path for the project and monitors timelines for deliverables on an ongoing basis. Liaises with the vendor, IT Services, and the CCWIL management/staff team to coordinate the implementation and ensure the successful launch of the platform
  • Schedules regular meetings for the implementation team and takes meeting minutes. Troubleshoots and ensures prompt follow-up on outstanding issues
  • Gathers user requirements and institutional data for system configuration. Develops data management policies and procedures, provides data quality oversight and ensures policy compliance (i.e. PIPEDA)
  • Researches and recommends best practices within the VMock system. Administers and maintains system security and permissions for all system modules and components, users, and roles
  • Creates and maintains all technical, administrative, and end-user documentation and training materials on VMock to support CCWIL management, staff, faculty, students, and community (clients)
  • Develops and coordinates training plans required for department and user/role categories, including identification and assessment of training needs. Determines instructional methods based on training needs, including individual and group training, new staff onboarding, demonstrations, workshops, and videos. Trains and onboards CCWIL staff, faculty and students
  • Works with IT Services to confirm site release with the vendor and supports interim/final reporting on the implementation process and outcomes
  • Works with the CCWIL Marketing Coordinator on the launch of the VMock platform to leadership, faculty, staff, students and clients
  • Evaluates, tests, configures, and documents all system updates, service releases, and patches. Disseminates information to relevant users/stakeholders via notifications, documentation, and training sessions
  • Runs routine and ad hoc analytical reports to capture key metrics and inform system usage
VMock SMART Resume
  • Provides the vendor with a comprehensive list of majors/programs within the College coupled with student enrolment data to ensure proper mapping of students to benchmarks
  • Works with CCWIL staff, chairs, program coordinators and faculty to gather historical student resumes (200 per benchmark) that reflect Conestoga standards to inform customization and system benchmarking
  • Gathers information on Conestoga standards for resume presentation and formatting to customize the module to Conestoga specifications
  • Develops student/client resume feedback and messaging for established resume benchmarks
VMock Elevator Pitch (Virtual Interview)
  • Reviews the VMock interview question library to determine alignment with established benchmarks and Conestoga standards
  • Gathers additional questions on behalf of the Conestoga CCWIL team for inclusion in the interview question library
  • Develops customized interviews that align with select industries or benchmarks
  • Develops and gathers resource materials (i.e. tip sheets, articles, videos) to be made available to students
Qualifications:
  • Three Year Diploma/ Degree in Business Administration, Information Technology, Human Resources or related field of study
  • Three years of advising experience in an academic or employment services environment
  • Experience leading a multidisciplinary project involving multiple stakeholders
  • Employment advising experience with demonstrated expertise in resume development and coaching across a wide range of industries
  • Knowledge of Conestoga’s credentials/programs, labour market information, industry and employment trends, and best practices in employment preparation and recruitment;
  • Strong technical literacy and technical writing skills with experience working with a variety of software systems and databases
  • Excellent analytical and problem-solving skills with sound judgment and the ability to work independently
  • Well-developed interpersonal communication and relationship management skills coupled with professionalism, tact and diplomacy
  • Exceptional organizational and project management skills the ability to multi-task and work under pressure to meet deadlines
  • Experience creating training material, end-user reference material, functional requirements documents, and/or complex reports
  • Experience developing and facilitating training workshop
