Our industry recognition is a testament to the family values we share with our parent company, McCain Foods Limited.About the RoleAdministrative Coordinator TruckloadFull- TimeHartland, NBThe Administrative Coordinator supports the business by coordinating the full range of administrative processes at the terminal in order to ensure the timely and accurate delivery of freight to the end customer.You will be a positive representative of our organization by demonstrating professionalism, and appropriate urgency. You will work closely with various internal and external contacts to effectively and efficiently respond to customer inquiries and requests.How You’ll Help

  • Support onboarding of new hires; liaise between Linehaul and Human Resources
  • Organize SOP development while maintaining repository to aid in refresher training or new employee orientations
  • Oversee sold loads reporting and 3rd party carrier pay
  • Prepare month end presentations for MCR and senior leadership team review
  • Manage attendance tracking for Linehaul coast to coast with timely reporting and follow-up as required
  • Collaborate with leadership on development, rollout and management of a departmental scorecard system
  • Process invoices [Transcore / Loadlink - update users on their website, grant/remove access, manage master list Cobequid Pass  Mercury Gate]
  • Payroll weekly for Company drivers, NB & BC trucks through Oracle & Agency
  • Send drivers record of pay
  • Enhance communication throughout department by developing and executing on a communication plan
  • Develop and roll out wellness and engagement programs throughout department
  • Organize & schedule Integrated Business Planning team meetings
  • Maintain calendar of functions for the VP; prepare agendas, makes arrangmeents for various meetings and events, and makes necessary travel arrangements and reservations
  • Socialize & train department on Corporate policies and procedures (i.e.; attendance management etc)
  • Expense reporting as required by the VP
  • Take on leadership role for administrative projects as assigned by the VP
  • Champion cultural change
  • Purchasing Card – submit statement monthly with all charges, assign proper GL’s
  • Submit weekly OT for Staff
  • Security for building – issue new cards & manage spreadsheet
  • Other related duties as may be required
Your Skills and Experience
  • Minimum of secondary education, with preference of post-secondary education (general stream), or a combination of education and experience.
  • Previous Transportation or operational experience is preferred, various roles within transportation would be beneficial.
  • Communication skills - advanced
  • Computer skills – accuracy, MS products, AS400, web based programs
  • Demonstrated customer relationship skills
  • Strong conflict resolution skills
  • Able to work deadlines in high transactional environment
  • Ability to champion business needs in a collaborative manner to colleagues
  • Results focused
