JOB OPPORTUNITYEXECUTIVE ASSISTANTCompany Name: Forest Protection LimitedAddress: Fredericton (Lincoln), New BrunswickEmployment Type: Full-time, permanentForest Protection Limited is seeking talent for the position of Executive Assistant in Fredericton. Reporting to the Director of Finance & Administration, the incumbent is responsible for assisting the Senior Leadership Team (SLT) in the day-to-day managerial administration work as well as working collaboratively with Human Resources and Administration Department in organizing office and staff activities.JOB DUTIES

  • Manage the schedules, calendars, emails, and other correspondence of SLT members, specifically for the Managing Director, Chief of Staff, and others as directed.
  • Greet visitors and manage access to meetings with SLT members, acting as the point of contact between SLT members and internal or external colleagues
  • Prepare and send correspondence on behalf of senior members of FPL as needed or by request. Must show good judgement for which correspondence can be managed by the EA
  • Assist with preparing presentations including formatting, filing, sharing, and prepare copies of associated reference material for audience
  • Set up the boardroom for meetings, take minutes, distribute minutes with action items, and follow-up as required on behalf of the Managing Director
  • Help organize events that members of the SLT are involved in and prepare itineraries
  • Book travel and finalizing travel claims for members of the SLT
  • Assist with the timely completion of expense reports and monthly credit card reconciliations for the Managing Director, Chief of Staff, and other SLT members, from time to time or as directed
  • Coordinate with HR and Admin in organizing corporate events
  • Maintain an organized filing system of paper and electronic documents
  • Uphold a strict level of confidentiality and discretion
QUALIFICATIONS:
  • Undergraduate Degree or Diploma in a related field
  • Exceptional verbal and written communication ability in English (ability to communicate in French considered an asset, but not a requirement)
  • Proficient with MS365 and proven ability to learn new computer programs
  • Ability to communicate effectively in a diverse working environment, including with a variety of internal and external stakeholders, from junior to senior levels

  • Friendly and professional demeanour
  • Well-developed organizational skills, with ability to prioritize and accomplish deadlines.
OPERATIONAL REQUIREMENTS:
  • Being legally entitled to work in Canada
  • Class 5 drivers license in the Province of NB or it’s equivalent, and own transportation
  • Must have valid passport and ability to travel internationally
  • Successful Criminal Record Check
  • Proof of Covid-19 vaccination
  • Have a modern mobile phone capable of making phone calls and sending/receiving SMS and email
