Value Partners Investments manages approximately $3.8 Billion of assets for clients across Canada. VPIC (Value Partners Investments Counsel) Saskatchewan focuses our efforts mainly in Southwest Saskatchewan, but we do have clients from British Columbia to Nova Scotia. As part of VPIC, we are a boutique financial planning and portfolio management firm located in Swift Current, Saskatchewan that has an immediate opening for a Part-time Administrative Assistant. You are someone who is full of life, conversationally smooth, and mature. We are looking for a pro-active organizer with a keen eye for detail. Someone with character and integrity first, skills second.We are looking for a customer service expert able to design, maintain and deliver high service levels to our client family. We are looking for a true people person, with a sixth sense for keeping our office in tip top shape. You should have experience in an office setting, help us keep our files in order and our database current. You will bring great energy and patience with you, overseeing all administrative functions and in helping organize us. Working part time from our unique small office, you will also be part of a growing national company with over fifty people. We have been in business for decades and most of our clients have been with us decades as well. We love what we do and the wonderful families we get to work with. You should be a service and systems expert who needs a daily fix of customer feedback, be great on the phone, and enjoy customer service! Drive Systemized customer satisfaction. Consistent service delivery solving customer needs, preventing service issues, uncovering hidden problems. Prepare paperwork for meetings.   • General Administration (45%)
o Provides front-line assistance by being the first point of contact for Clients.o Assure compliance with office / admin related documents, process & procedureso Answer telephone and electronic enquiries and relay telephone calls and messageso Provide assistance in tracking and paying office expense and submitting required receipts to accountingo Provide assistance in tracking professional development and professional licenceso Compiling data for client meetings semi annuallyo Co-ordinating live client presentations and eventso Assisting in monthly client communications through Constant Contact.
  • Investment Processing (45%)
o Processing Investment applications. Follow up with administration. Deposit and Withdraw funds under the Portfolio Manager’s guidance and by client request.o Process banking, address, beneficiary, and other noninvestment change requests for clients.o Handling telephone inquiries from clients regarding investment accountso Maintain records, correspondence, develop and upkeep of online fileso Individual letters & mass mailings to clients.o Maintaining client data baseo Schedule Appointments for clientso Document Filing and Management
  • Other miscellaneous duties and special projects as assigned (10%)
o Processing life, disability & group applications. Follow up with underwriting. Letters to clients; policy change administration; beneficiary & banking changes; processing of individual life claims.o Liaison between clients & insurance companies regarding policies; outstanding requirements, bank changes. Dealing with quotes for new Group Plans and queries from existing clientsQualificationsEducation & Experience
  • Minimum grade 12 is required.
  • 2–5 years directly related experience required.
  • Previous financial administration experience preferred.
  • Experience scheduling and coordinating meetings.
  • Experience recording and preparing minutes and agendas.
  • Experience with email and computerized calendars.
Technical Knowledge
  • Experience in an administrative assistant capacity
  • Above average math skills
  • Above average keyboarding (accuracy)
  • Excellent letter writing (grammar) skills
  • Knowledge of office procedures and ability to learn use of a proprietary client relationship management
system.
  • Understanding of MS Office suite, especially Word and Excel
Skills & Abilities
  • Strong listening skills & the ability to follow through
  • Must have exceptional organizational skills with the ability to time manage
  • Strong client service orientation with the ability to build collaborative working relationships based on
mutual trust to meet goals
