Job Description

Executive Admin Assistant Our client in Scarborough is looking for hardworking, motivated talent to join their team. This is an onsite/ Hybrid position. What #39;s in it for you

  • $25 an hour
  • Monday to Friday 8:30am to 4:30pm
  • 3 months and possibility to extend
  • Paid training
  • Full time hours
  • Clean and safe work environment
What will you be doing
  • Maintain confidentiality.
  • Maintain multiple calendars for Senior Executives, as well as meeting rooms.
  • Corporate correspondence - preparation and editing of meeting presentations
  • Schedule and organize meetings, book facilities, arrange required documents, refreshments, etc., as required
  • Coordinate corporate travel arrangements and corporate special events
  • Check and pick up mail daily and distribute accordingly
  • Audits and expenses Canada wide through Concur.
  • Timesheet management for executive team, executive payroll (biweekly)
  • Oversee head office amenities daily (CANTEEN).
  • Maintain inventory of office supplies, sourcing and placing orders as required.
  • CBSA/CITT reporting as required
  • Update and maintain Canada Sharepoint
  • Weekly Workshare Utilization Reports
  • Responsible for seasonal corporate donations.
What do you bring
  • Diploma in business administration or 5-7 years #39; experience supporting multiple senior level executives.
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office applications.
  • Experience with calendar management, filing, word processing of letters, memos, reports, spreadsheets and presentations of a technical and/or confidential nature.
  • Exceptional Interpersonal skills.
  • Excellent problem-solving skills.
  • Seasoned communication, flexibility, attention to detail and organizational skills are essential.
  • Ability to exercise independent judgment, discretion and diplomacy in managing the activities of executives are required.
  • Ability to work independently and proactively under pressure and meet deadlines effectively.
