JVS Toronto is a registered charity and receives generous funding to provide most of our services without charge.Visit www.jvstoronto.org.Program OverviewThis position will support two MILTSD funded bridge training programs- IPLAN Employmentamp; IPLAN Practice as well as other administrative functions at North office. IPLAN Employment integrates newcomer architectural professionals into the architectural workplace in Ontario.Delivered in partnership with Toronto Metropolitan University (formerly Ryerson), the program has served over 500 clients over its 10-year history, the vast majority of whom are now employed in architectural positions across Ontario. IPLAN Practice is focused on integrating newcomer architectural professionals into more senior roles as licensed architects in Ontario.Delivered fully by JVS and a group of sector specialist, the program offers a combination of sector specific workplace communication and technical training.We are looking for a detail orientated, organized team player that provides administrative support for both bridge training programs and other JVS initiatives working closely with a team consisting of two employment counsellors/facilitators, a workforce specialist and the manager.The incumbent in this role will be responsible for tasks, including, but not limited to:

  • Arrange and conduct program and centralized intake for potential clients
  • Assist with workshop material preparation, set up equipment for presentations and provide technical support for online sessions
  • Provide support to the JVS Online Learning Management System
  • Help maintain and manage various client databases. Set up, maintain and file client records in EOIS CAMS as requested. Prepare rosters of clients as needed
  • Enter data into excel spreadsheet, monitor data and provide to managers as needed. Assist with statistical and program reports
  • Assist with organizing appointments, orientations, and workshops
  • Provide front desk/ reception duties and customer service to all clients, employers and visitors
  • Provide clerical support, including editing and formatting reports, preparing and completing agency and government forms, word processing of correspondence, reports and other materials, filing, faxing and photocopying
  • Assist with organizing events, outreach activities, etc.
  • Provide reception coverage and administrative assistance at North office as needed
  • Other duties as assigned
Flexible hours / evenings / weekends may be required for this position.Minimum Qualificationsamp; Experience:
  • High school education; Diploma or Certificate in Administration preferred
  • 2 years of administrative experience
  • Excellent administrative, analytical, interpersonal, and problem-solving abilities
  • Computer literate with the ability to learn systems used by the agency (ie. EOIS, CaMS, SalesForce); Proficient in Microsoft Office

  • Employment Ontario knowledge and exposure
  • Experience with online tools and platforms
  • Experience serving newcomer professionals
