Job Description

The Ministry of Heritage, Sport, Tourism and Culture Industries seeks an experienced individual to provide administrative, human resources support services and revenue reconciliation for its two historic attractions (Sainte-Marie among the Hurons and Discovery Harbour).Sainte-Marie among the Hurons in Midland (1639-1649) is a reconstruction of the 17th century headquarters of the French Jesuit mission to the Huron people. It was the first European community in Ontario and home to six of the eight North American Jesuit martyrs.Discovery Harbour in Penetanguishene represents the period from 1817 to 1856 when the Royal Navy and the British Army maintained a naval dockyard and military garrison at this strategic defense station on Georgian Bay. Discovery Harbour is the home of replica vessels and the Kings Wharf Theatre offers professional summer theatre.Note: This position is located at 16164 Hwy 12, Midland, however you may be required to work out of the 93 Jury Drive, Penetanguishene location periodically.What can I expect to do in this roleYou will:

  • prepare, review and process various personnel and payroll documents
  • assist with various stages of recruitment including setting-up interviews, posting student job opportunities, preparing contracts and participating in Job Fairs
  • maintain, review and submit attendance and payroll records
  • collect, check and verify daily revenue
  • verify daily cash, debit and credit purchases with point of sale and electronic Ticketing system records
  • Resolve discrepancies with ticket booth staff
  • prepare and track incident reports
  • maintain efficient and confidential filing systems
  • prepare routine correspondence, reports and spreadsheets
  • respond to general inquiries
How do I qualifyAnalytical and Mathematical Skills:
  • you have the ability to interpret and apply relevant legislation, policies and procedures (i.e. FIPPA, OPSEU Collective Agreement)
  • you have analytical skills and attention to detail to identify discrepancies, ensure accuracy and resolve issues
  • you have mathematical skills to reconcile payroll and collection of revenues, balance floats and maintain accurate records of seniority hours, overtime, etc.
Technical Knowledge:
  • you have knowledge of and experience with administrative and office procedures and guidelines
  • you have knowledge of and experience with human resource and payroll policies and procedures
  • you have knowledge of records management and experience with electronic and paper filing systems
  • you have experience with information systems (i.e. WIN, IFIS)
  • you are proficient with personal computers and office software applications such as email, word processing and spreadsheets to prepare correspondence, statistical and analysis reports, charts, tables etc.
  • you can operate standard office equipment such as photocopiers and printers as well as Point of Sale equipment
Organizational and Judgement Skills:
  • you have demonstrated organizational skills to manage peak workload periods with competing priorities, meet strict deadlines and track and follow-up on requests
  • you have judgement and reasoning skills to assess the urgency and nature of calls and determine what matters should be brought to the attention of management
  • you have the ability to maintain strict confidentiality and handle sensitive matters with tact and discretion
Communication Skills:
  • you have well developed customer service and communication skills to communicate clearly with staff and clients, provide clarification and instructions and respond to general inquiries
  • you have proven written communication skills to prepare a variety of documentation, forms, correspondence, business cases and reports
