They manage several operations in support of services offered to the Concordia and Quebec University Libraries communities as well as to alumni and the general public including circulation, interlibrary loans, scan and deliver services, course reserves, mail, and stacks maintenance; direct and coordinate the work of a team of library staff with different responsibilities and levels of expertise using multiple platforms/software. With the guidance of the Associate University Librarian, Teaching & Learning, the assistance of functional supervisors in the unit, and in collaboration with the Access Services Librarian; the incumbent develops and oversees services and processes that advance the goals of the unit and its staff.PRIMARY RESPONSIBILITIES

  • Manage and lead a team of library staff; assigns and directs their work; manage employee performance, productivity and training.
  • Develop, manage and ensure the efficiency of operations and the quality of services with the assistance of the unit’s functional supervisors.
  • Ensure high degree of performance, reliability, availability and security of services.
  • Analyze, anticipate, prepare, and respond to service demands in a proactive manner.
  • Develop schedule templates for the entire unit and coordinate staff time assignments with supervisors.
  • Liaise within the Library and with other University staff as needed to ensure effective communication and collaboration.
  • Seeks to continuously understand and improve users’ experience, and resolves, as needed, delicate or complex user complaints.
  • Analyze statistics and usage trends to inform operations, workflows and scheduling needs; prepare reports as requested.
  • Assess and communicate needs for software and equipment in support of operations.
  • Monitor policies and procedures and ensure they are organized, documented, accessible to staff, and up to date.
  • Manage and/or participate on projects including development, implementation, communication, assessment, and enhancements.
  • Manage the hiring process for the unit and provide recommendations on hiring.
  • Organize training, both at hire and ongoing; contribute to and support staff development plans.
  • Advise on deployment of staff, budget, physical resources and technology.
  • Undertake other tasks as requested by the Associate University Librarian, Teaching and Learning.
REQUIREMENTS
  • Bachelor’s degree, preferably in management or other relevant discipline.
  • 4-7 years of demonstrated experience in managing operations and staff.
  • Good knowledge (Level 4) of spoken and written English; basic knowledge (Level 3) of spoken French.
  • Demonstrated ability to manage complex, integrated operations across a varied staff group.
  • Understanding of record management systems (e.g. student records, customer records, etc.)
  • Familiarity with current library services.
  • Strong leadership, interpersonal and communication skills with a demonstrated client service orientation.
  • Demonstrated ability to work as a team leader, manage staff and foster a positive team environment.
  • Broad understanding, experience and proficiency with information systems.
  • Experience working in a unionized environment.
  • Interest in new technologies and ability to learn new processes.
  • Demonstrated experience in project planning and management, organizational and decision-making skills with the ability to establish and respond to priorities.
  • Demonstrated analytical and problem-solving skills.
  • Experience and ability to develop and document guidelines, procedures, etc.
  • Demonstrated ability to work cooperatively and tactfully, exercising good judgment.
