Job Description

November 10, 2022INTERMEDIATE SECRETARYFaculty of ScienceDepartment of Earth Sciences(Contractual Position to November 30, 2025)The University will consider applications from qualified permanent staff who may be interested in a secondment, subject to departmental approvalDUTIESThe successful candidate will perform advanced secretarial duties requiring initiative, independent judgement, and confidentiality within the Department of Earth Sciences in support of the Department Head and graduate programs. Duties include, but are not limited to, providing secretarial support to the Department Head; maintaining calendar and handling incoming mail for the Department Head; replying in person, by telephone, email, or correspondence to inquiries; arranging meetings and preparing agendas and resource material; recording and transcribing the minutes of faculty meetings; providing required support for promotion and tenure, search, and faculty committees using OnBase and updating adjunct appointment files; entering appointments in FLAC; maintaining the departmental telephone directory, personnel listings, website, and social media; scheduling graduate student exams, seminars, and defenses; maintaining various distribution lists; acting as the primary resource for graduate student inquiries; liaising with the School of Graduate Studies staff regarding regulations and procedures; assisting with graduate student fellowship competitions and maintaining graduate student files; and performing other related duties as required.QUALIFICATIONSExperience (3-5 years) in administrative work; graduation from a 2-year program in business or office administration; or any equivalent combination of experience and training. Attention to detail and strong communication and organizational skills are required. Knowledge of Microsoft Office is required.
